Personal Assistant/Administrative Assistant

Duties:

· Provide administrative help to the CEO, Office Manager, development team, and office staff.

· Carry out personal assistant obligations as assigned by the proprietor of the organization.

· Assist in planning and serve-in as a backup to the development team.

· Successfully speak with all colleagues and merchants

· Coordinate subcontractors and work orders with Project Manager

· Maintain schedule and calendar of subcontractors for work completion

· Maintain exact project statuses for project team and proprietor

· Issue purchase orders for projects and maintain exact records

· Maintain/Establish connections with merchants

· Ensure the ideal delivery of materials

· Provide samples as required to customers

· Review invoices for accuracy before sending to Accounts Payable

· Communicate change orders to the field and track processes

· Monitor project costs versus budget plan

· Advise of any likely overages before cost

· Spec and source products for projects

· Reply to mails, phone, or personal inquiries quickly and expertly.

· Answer and direct all calls immediately and reliably utilizing a multi-line telephone system.

· Take exact notes of telephone messages and quickly convey to the appropriate recipient(s).

· Maintain general office documentation, formats, and contact records.

· Receive, sort, and send the mail.

· Produce and distribute correspondence memos, letters, faxes, and forms.
